This notice explains what personal information the Whittington History & Heritage Group (“WHHG”, “we”, “us”) collects through whittingtonhistory.org, why we collect it, how we look after it and what your rights are. We are a volunteer-run community heritage group based in Old and New Whittington, Chesterfield, and we are working towards registration as a Charitable Incorporated Organisation.

What we collect and why

When you send us an enquiry

If you use a form on this website, for example to ask about a burial record or family history, we collect the details you give us: usually your name, email address, where you are writing from, and information about the person or subject you are researching. We use this only to answer your enquiry and, if you agree, to put you in touch with other researchers looking into the same family. Our lawful basis is our legitimate interest in responding to people who contact us, and your consent where you tick a box to be put in touch with others.

If you subscribe to our newsletter

If you sign up for our newsletter we collect your email address and use it only to send you news from WHHG. Our lawful basis is your consent. Every email includes a link to unsubscribe, and you can unsubscribe at any time.

If you leave a comment

If you comment on a page, we collect the name, email address and website you enter, together with your IP address and browser details, which help us detect spam. Your name and comment are shown publicly; your email address is not. Comments may be checked by an automated spam-detection service (Akismet), and if you have a Gravatar account your profile picture may be shown next to your comment. Our lawful basis is our legitimate interest in running an open, spam-free discussion.

If you make a donation

Donations are taken by SumUp, a payment provider, on its own secure website. We never see or store your card details. SumUp may share with us your name, the amount and the date of your donation so that we can keep proper accounts and thank you. SumUp’s own privacy notice explains how it handles your information. Our lawful basis is our legal obligation to keep financial records and our legitimate interest in managing donations.

When you visit the website

Like most websites, ours automatically records some technical information when you visit, such as your IP address, browser type and the pages you view. We use Jetpack Stats to understand how many people visit and which pages are popular. We look only at overall figures and do not use this information to identify you. Our lawful basis is our legitimate interest in running and improving the website.

Historical records on this website

This website publishes historical records, including burial registers, trade directories, war memorial details and family histories. Data protection law applies to living people, and most of these records concern people who have died. Some more recent records may, however, include details that relate to living relatives.

We publish these records for historical research and public interest. If you think a record contains information about you or a living relative that should not be public, or if a record is wrong, please contact us and we will review it promptly. Where appropriate we will correct, redact or remove it.

Cookies and embedded content

Our website uses a small number of cookies, which are small files stored on your device. Some are essential for the site to work (for example, to remember that you have closed a notice, or to keep you signed in if you are one of our editors). Others are used by Jetpack Stats to count visits.

Some pages include content from other websites, such as YouTube and VideoPress videos and embedded Google spreadsheets and maps. When you view that content, the other website may set its own cookies and collect information about you, just as if you had visited it directly. Who we share your information with

We do not sell your information, and we do not share it with anyone for marketing. We use the following trusted services to run the website:

How we keep your information safe

Only WHHG volunteers who need your information to do their work can see it. Access to the website’s administration area is protected by passwords, and our service providers use industry-standard security.

Children

Our website is for a general audience. We do not knowingly collect personal information from children under 13 through our forms, comments or newsletter. Our printable activity sheets can be downloaded without giving any personal information.

If you are unhappy with how we have handled your information, please contact us first so that we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
